We are seeking a proactive and tech-savvy Executive Assistant to provide high-level support to our Chief Executive Officer (CEO) and Executive Director – Corporate Services (ED). This pivotal role sits at the heart of our organisation, ensuring the CEO and ED are well supported through effective diary management, document coordination, meeting preparation, travel planning, and more.

The EA is the first point of contact for internal and external stakeholders interacting with the Office of the CEO, acting with discretion, initiative, and professionalism. You’ll play a pivotal role in enhancing the efficiency and effectiveness of executive support by streamlining workflows and championing the use of digital tools. Your focus on continuous improvement will help simplify administrative processes, reduce manual tasks, and maximise the productive use of time and resources for the CEO and ED.

Key Responsibilities

  • End-to-end management of the CEO and ED’s diaries, travel and administrative needs
  • Serve as the central point of contact for internal and external enquiries
  • Prepare and review high-quality correspondence, reports and presentations
  • Improve administrative processes through digital tools and automation
  • Coordinate stakeholder meetings and maintain excellent internal and external relationships
  • Support compliance with EMPHN policies, risk and information security systems

What You’ll Bring

Proven experience as an Executive Assistant supporting senior executives (health or not-for-profit sector experience desirable)

  • Proven experience as an Executive Assistant supporting senior executives (experience in the health or not-for-profit sector is desirable)
  • High-level discretion, emotional intelligence and initiative
  • Excellent organisational and time management skills, with strong attention to detail
  • Strong digital literacy and confidence using automation tools and modern workplace technologies
  • Outstanding written and verbal communication skills, with a strong commitment to service excellence
  • Flexibility and availability during standard working hours, with the ability to attend the office on-site three (3) days per week as part of a hybrid working arrangement
  • A Certificate IV or Diploma in Business Administration (or a similar qualification)
