JOB RESPONSIBILITIES
Financial:
- Managing the day-to-day operations of the practice
- Manage patient accounting, receipting and reconciliations including Medicare online claiming
- Maintain accurate financial records and provide regular reports to the accounts team
- Coordinate accounts receivable and payable and maintain debt prevention activities
- Monitoring inventory and placing orders for resupply of medical supplies and stationery
- Ensure monies collected are banked in line with their Policy as quickly as possible
- Ensure all accounts are forwarded to the accounts team in a timely manner
- Ensuring the practice complies with industry regulations
- Enhance the practice to increase profitability and better address the needs of the community
- Working as a team to ensure the practice runs effectively and meets objectives

Operational:
The Practice Manager will work collaboratively with the practice staff to,
- Proficiently utilise IT skills and resources to optimise reception and administration management, including practice management software Best Practice
- Supporting systems such as ERX, Secure Messaging, E-health and Faxing
- Collaboration tools such as Google Docs/sheets, PRODA, HICAPS
- Ensure that all staff members are continuously informed and stay up-to-date with practice IT systems
- Develop and maintain a suite of practice policies and procedures
- Develop and maintain a business continuity and disaster recovery plan (power outage)
- Develop and maintain an asset register in collaboration with the accounts team
- Ensure consumables and equipment are kept stocked and maintained to the manufacturer’s standards and conditions
- Lead by example in actively engaging within a collaborative team environment and delivering impactful contributions
- Oversee that the practice and rooms are clean, tidy and accessible
- Lead accreditation compliance and implementation including preparation
- Oversee day-to-day practice operations
- Develop relationships with GPs, allied health professionals and other stakeholders

Personnel:
The Practice Manager will:
- Take a leadership role by consistently demonstrating professionalism and consistency across all operational domains
- Implement activities to maintain a cohesive and cooperative working team environment
- Review the progress and development of individual capabilities and the team as a whole (including routine administration, customer service and billing)
- Facilitate productive team meetings, document discussions, and monitor outcomes to ensure effectiveness
- Take proactive leadership in staff employment, rostering, and leave coverage, aligned with their policies, and collaborate closely with payroll team to meet practice requirements effectively
- Foster employee motivation, support professional development, and prioritise satisfaction among team members
- Facilitate regular staff training, meetings, and performance appraisals to ensure continuous improvement and alignment with organizational goals

The Practice Manager will adhere to the practice’s policies, procedures and code of conduct by:
- Leading risk management and quality improvement processes
- Recording incidents and near misses
- Exercising duty of care including meeting the accreditation standards and accountability
- Strictly maintaining adherence to the Company Privacy and Confidentiality Agreement at all times
- Ensuring the practice building and work spaces are conducive to a safe and practical work environment
- Ensuring clinical governance processes are in place
- Contributing to the development of a culture consistent with the values of the practice

To be considered for this role you will have:
- Minimum of 5 years’ experience working in a general practice medical clinic
- Proficient with computerised systems including medical specific software
- Have experience managing or leading at least one other individual (could be training / mentoring)
- Knowledge of Medicare Benefits Schedule an advantage
- Able to multi-task with high attention to detail
- Positive, with a strong work ethic
- Exceptional communication skills and highly developed people skills
